OUR MISSION

Archive Solutions Ltd. (ASL) provides a cost effective, secure and simple solution to all aspects of Corporate Archiving and Record Management.

We appreciate that with your need to concentrate on your core business, dealing with issues of record management can become a burden to your organisation. We make it our business to alleviate this burden by providing you with an appropriate solution to your Record Management needs.

Records Management is essentially inventory control, which means knowing what you have, where it is, how to find it when you need it, retaining its integrity, when to get rid of it and ensuring at all times they remain confidential. There is always much more to the system than just putting records out of sight and out of mind. Records Management embodies four processes:

  • Indexing includes identification, classification and description of the records.
  • Packaging includes selecting the method, mode and media of filing.
  • Tracking includes an automated system for locating and action prompting.
  • Disposing includes advising the client on retention schedules, migration of data or destruction of records, and proof of the destruction.

We have conducted extensive research into various record management systems and solutions from Europe and the United States and have designed what we believe to be the most suitable and flexible option for East Africa.

Life cycle of a record

This diagram depicts a typical life cycle of a record. A record begins as a document when it is controlled by its author and goes through a myriad of activity during this stage. At a point, it ‘converts’ into a record when the content in the document is of a nature that it can stand the test of time. This record is now the preserve of the corporate entity and can take the form of a physical document, electronic mail, desktop authored document or an electronic representation of a physical document.
